Gallup Candidate Privacy Notice

1. Introduction

At Gallup, we respect your privacy. This Notice explains how we collect, use, transfer, retain and protect your personal data as part of the application and recruitment process.

This Notice does not create or form part of any contract for employment or otherwise.

2. Data We Collect

During recruitment, we may collect the following categories of personal information:

  • Identifying information: name, contact details (email, phone, address)
  • Professional background: employment history, education, qualifications, certifications, work authorization
  • Supporting materials: resume/CV, cover letter, portfolio, references
  • Optional demographic data: for diversity, equity and inclusion goals (voluntary basis only)
  • Technical information: if applying online, we may collect system or log data (e.g., browser type, IP address)
  • Other information you provide during the application process

3. How We Use Your Data

We process your personal information to:

  • Evaluate and process your job application
  • Communicate with you throughout the recruitment process
  • Conduct background checks, reference checks, and verification of qualifications as permitted by law and relevant to the role
  • Consider you for other relevant positions across Gallup
  • Maintain and analyze recruitment-related records and reports
  • Comply with applicable legal and regulatory requirements

4. Sharing Personal Data

Gallup does not sell your personal data. However, we may share your information in the following limited circumstances:

  • Within Gallup: Your data may be shared with Gallup employees, hiring managers and HR professionals involved in the recruitment process.
  • Service providers: We may share your data with third-party vendors who provide recruitment-related services, such as applicant tracking systems, background check providers or assessment tools. These providers are contractually required to protect your data and use it only in accordance with Gallup’s instructions.
  • Legal and regulatory requirements: We may disclose your data when required by law, regulation or legal process, or to protect Gallup’s legal rights.

We do not allow third parties to use your personal data for their own marketing purposes.

5. Legal Basis and Consent

Where required by law, such as GDPR or CCPA/CPRA, we will obtain your consent to process your data. Your personal data will be retained only as long as necessary for recruitment and in compliance with applicable laws.

You have the right to:

  • Right to withdraw: Withdraw your consent at any time.
  • Right to delete: Request permanent deletion of all personal data Gallup has collected in the recruitment process.
  • Right to access: Request a copy of the personal data Gallup maintains about you (“candidate packet”).
  • Right to restrict or object: Restrict certain processing or object to processing based on Gallup’s legitimate interests.
  • Right to lodge a complaint: Submit a complaint to your local data protection authority.

6. Data Transfer and Storage

Your application data will be stored in the United States. As a global organization, Gallup may transfer candidate data across jurisdictions. We protect your information through:

  • Secure technical and organizational safeguards
  • Binding legal instruments (such as Standard Contractual Clauses) or certifications, where required

7. Use of Third-Party Services

We may engage trusted third-party providers to support recruiting functions such as application tracking or assessment tools. These providers:

  • Are contractually obligated to safeguard your data
  • May only use the data in accordance with Gallup’s instructions

8. Automated Decision-Making

Gallup does not make hiring decisions based solely on automated systems or algorithms.

9. Changes to This Notice

We reserve the right to change this Notice at any time. The “Effective Date” heading at the top of this Notice indicates when it was last revised. Any changes will become effective when we post the revised notice on our Careers site.
